Job Description

Level: AHTCS level 7/8
Job Summary
Reporting to the Executive Director, the AFO is in charge of payroll preparation, cash control maintenance, purchase support, accounts payable maintenance, financial statement preparation, and operation management for AHTCS. In addition, the AFO is in charge of coordinating AHTCS publications and coordinating with stakeholders to promote events and public relations.
Purpose:
The AFO is in charge of upholding the daily accounting and financial systems, as well as administrative and personnel services, in order to comply with legal requirements and support AHTCS's operations, which include AHTCS publication.
Responsibilities:
1.Oversee and administer the financial system to make sure the AHTCS finances are correct and up to date.
Main activities
- Create and maintain distinct project accounts;
- oversee the account payment process;
- Oversee the annual and trimonthly financial plan and progress;
- Supervise and train the relevant staff in accounting procedures.
- Assist the Executive Director in creating the project budget;
- Keep an eye on the general ledger accounts;
- Oversee the cash received from funders and training partners;
- Verify that all of the invoices and travel claims are appropriate and in line with standard procedures.
- Recommend and uphold procedures that ensure appropriate internal control and are followed to maintain the integrity of the financial data.
- Manage the administrative support staff and provide them with coaching to maintain proper accounting procedures.
- Maintain proper inventory of the organization's books, stationery, and assets. Prepare payment vouchers and receipts with the correct amount, account numbers, and transaction description.
- Promptly notify the supervisor of any changes to the cash arrangement. Deposit or withdraw cash from the bank as needed. Send necessary bills or receipts to clients or projects.
- Compile monthly and annual financial management reports, budgetary forecasts, and cash-flow forecasts. Credit control. Prepare statutory annual reports.
2. Oversee the AHTCS office's administrative services.
Main activities
- Oversee the Arce Resource Center (ARC) and oversee the filing, storage, and security of documents.
- Manage the repair and upkeep of office and computer equipment.
- Maintain purchase and maintenance through quotation when necessary.
- Help with the drafting of laws and bylaws, contract documents, and letters.
- Manage related personnel and assess their performance.
- Oversee client service and address inquiries on their website.
- Verify that the data on the website is accurate and current.
- Coordinate with the website designer to make any necessary modifications.
3. In order to guarantee accurate and comprehensive records, supervise the accounts payable and accounts receivable systems.

- Issue, code, and suggest purchase orders;
- Handle utility bill distribution and account collection;
- Reconcile the accounts payable and receivable.
4. Maintain employee records and files to guarantee that benefits and allowances are paid on time.

- Help with the administration of employment contracts.

5. Organize all the tasks associated with the publication of AHTCS.
Main activities
- Correct selection of articles, poems, success stories, and advertisements for publishing.
- Ensuring that all the articles and success stories for the publication are received on time.
- Compile and/or translate articles and/or success stories from Nepali to English and vice versa.
- Ensure that advertisements are collected on time and that payment is made.
- Make corrections to the language used in articles;
- Design and update the publication's layout;
- Seek technical support from other staff members.
- Regular updates regarding the status with ED.
- Prompt publication and distribution to the relevant parties.
Main activities
- Drafting and creating pamphlets and brochures about AHTCS services, then timely distributing them to the relevant parties;
- Gathering and compiling news articles about the activities;
- Promptly sending the request for publication or broadcasting to FM radio and/or local and national newspapers;
- Keeping in regular contact with ED regarding the status of the project.
